The Assistant Operations Coordinator supports the daily operational functions of Manatee Gynecology by assisting in the coordination, organization, and execution of administrative and clinical workflows. This role works closely with leadership and staff to ensure efficiency, consistency, and a high standard of patient care. This is a support role, not a supervisory position, but requires strong experience, initiative, and attention to detail.

Key Responsibilities:

  • Assist in the coordination of daily office operations to ensure smooth and efficient workflow

  • Support implementation and maintenance of operational systems, protocols, and procedures

  • Help manage task delegation and follow-through across front desk, clinical, and administrative teams

  • Monitor schedules, patient flow, and operational bottlenecks, escalating concerns when appropriate

  • Assist with staff communication, including relaying updates, expectations, and workflow changes

  • Support inventory tracking and supply management to ensure adequate stock of clinical and office materials

  • Help maintain compliance with office policies, procedures, and healthcare regulations

  • Assist in onboarding and training of new staff on workflows and operational standards

  • Participate in process improvement initiatives to enhance efficiency and patient experience

  • Provide administrative support to leadership as needed

Qualifications:

  • Prior experience in healthcare operations, medical office coordination, or a similar role required

  • Strong organizational and multitasking skills in a fast-paced environment

  • Excellent communication and interpersonal skills

  • Ability to take direction while also demonstrating initiative and problem-solving

  • High level of professionalism, discretion, and attention to detail

  • Familiarity with EMR systems (e.g., eClinicalWorks) preferred
